Statement:
Any new request for transportation services, cancellation requests or change requests related to a student’s personal information must be made by the parent(s)/caregiver(s), through the school.
Procedure
Request for New or Changes in transportation must be submitted by the parent(s)/caregiver(s) to the school administration, who will change the student’s record before forwarding it to STSWR.
The school administration will:
- Receive information from parent(s)/caregiver(s).
- Check information provided.
- Enter latest information into student’s records in Aspen.
- Information will be sent automatically to STSWR through the BP Live process twice daily.
STSWR will:
- Evaluate the request and determine the eligibility based on criteria established in the transportation policies and procedures.
- Plan and organize transportation for the student based on eligibility.
- Send the school and school bus operator confirmation of the student’s route, assigned bus stop location and bus stop times.
- Ensure changes received through the Aspen/BP Live download are completed and current.
- STSWR will have the updated information available online the day after the change is performed through BP Web.
Special Needs transportation requests for new submissions or changes must be submitted by the parent(s)/caregiver(s) directly to the school administration. School administration will change the student’s record before forwarding it to the designated School Board contact for approval. The last step will be forwarding the approved form to STSWR.
The School Administration will:
- Receive information from parent(s)/caregiver(s).
- Check information provided.
- Enter latest information into student’s records in Aspen and make sure it is kept up to date.
- Send information for approval.
Approval Process
WRDSB
The Special Needs Consultant will:
- Update the Special Needs database.
- Identify any special equipment or constraint required to provide safe transportation.
- Send STSWR notice of the new or changed Information.
WCDSB
The Superintendent of Business and Treasurer will:
- Send to STSWR approved request for transportation.
STSWR will:
- Plan and assign transportation according to student requirements.
- Send the school and school bus operator confirmation of the student’s route, assigned bus stop location and bus stop times.
- Ensure changes received through the Aspen/BP Live download are completed and current.
- STSWR will have the updated information available online the day after the change is performed through BP Web.
