Why You May Not See Your Student’s Transportation Information in the Parent Portal

Effective for the 2025/2026 school year, access to student transportation information in the Parent Portal requires that your email address is listed in your student’s official school record (Aspen) under contacts.
Why This Requirement Exists
The Parent Portal contains private information about students, including names, schools, addresses, and bus stop locations. For safety and privacy reasons, only contacts listed in a student’s official school record (Aspen) are permitted to view this information.
In previous years, the “Add Student” feature allowed anyone with certain details to link a student to their Parent Portal account. That feature has been removed. Now, only those who are recorded as contacts at the school and have an email address listed in the school record can see transportation information.
Here is how it works:
- If the email address you use to create or log in to your Parent Portal account matches the email address listed in your student’s school record, transportation information will automatically appear. If there is more than one student, the top of the page where it says ‘Select Student’ there will be a drop down listing all the students that have that persons email on their file.
- If the email address is different than what the school has on file, no transportation information will load.
- Students must also be added themselves as contacts in their school record under ‘contacts’ if they want access to their transportation details online just like a parent/caregive is listed. Having only a school-issued email address is not enough.
This explains why some families could see information in the Parent Portal last year but cannot this year.
What You Need to Know
- If your email is not listed at the school, you will not be able to see your student’s transportation details in the Parent Portal.
- Students who want to log in to view their own information must also be listed as a contact in their school record, just like parents and caregivers.
- STSWR does not have the ability to make changes to school records. All information changes, including contact changes, address changes etc, must be made at the school directly.
- Only new Junior Kindergarten (JK) families receive an email or letter with their transportation information. Since they are new to the system, this information is provided to families directly.
- All other families (including families going to a new school/grade) must log in to the Parent Portal each year at the end of August to see their updated transportation details. This requires using the same email address that is listed in their official school record.
 
What To Do
- Contact your student’s school office to make sure your email is listed in their records under contacts.
- Once the school updates your email, allow 24 hours for the information to update in the system.
- After that time, log in to the Parent Portal at www.stswr.ca using the same email address that is listed on your student’s school record.
Helpful Tips
- You can add up to 5 mobile phone numbers in your Parent Portal account to receive text alerts about bus delays. Text alerts often arrive faster than email.
- To add numbers: log in, go to Parent > My Account > Mobile Numbers, check “I want to receive text alerts”, enter your number(s), and click Update.
 
- There is only 1 email per account.

Why can’t I see my student in the Parent Portal but I could last year?
- Your email address likely does not match the one listed in your student’s school record. If it is not listed at the school, you will not be able to see transportation information. Please contact the school directly.

How do I fix my email/address in the Parent Portal?
- Contact your student’s school office and ask them to update your information in your students school record (Aspen).
How long will it take to update?
- Allow 24 hours after the school makes the change for the information to appear in the Parent Portal.
Can STSWR update my email for me?
- No. Only your student’s school can update contact information. STSWR has a ‘read-only’ version of your students school records and cannot make any changes.
What if I want bus delay text alerts?
- When you create a Parent Portal account, you will automatically be signed up to receive delay/cancellation alerts. To receive text alerts as well, log in to the Parent Portal, go to Parent > My Account > Mobile Numbers, and add your cell number(s). Be sure to check the box for text alerts.
- These alerts are updated manually by the bus company. Please contact the bus company listed in your Parent Portal directly if your bus is delayed/cancelled.
